Position Overview:

The Sales Coordinator’s main role is to offer administrative support to the Sales team. This individual will help in surpassing the sales goals for Parts and Accessories, while also enhancing the customer service experience. The position is located at our Umm Ramool branch.

Key Responsibilities:

– Use ERP tools like SAP and SAP Ariba to purchase auto parts and accessories for vehicle repairs and modifications.
– Predict material and service needs to ensure constant availability, supporting uninterrupted workshop projects and meeting business objectives.
– Scrutinize quotes from various suppliers to find the best deal in terms of cost, lead time, quality, and material specifications.
– Draft and manage purchase requisitions, orders, and coordinate with suppliers and third-party service providers.
– Engage with vendors, clients, teammates, and leadership to synchronize objectives and address any discrepancies in order approvals and deliveries.
– Handle DBM Orders and support tasks within the wider Accessories, SVD, & Consumables sector.
– Oversee Product Trials.
– Monitor Payments and Oversee Customer accounts.
– Foster relationships with both internal and external clients, driving sales.
– Conduct on-site evaluations.
– Keep track of supplier details, manage their invoices, and settle payments.
– Monitor and confirm orders, ensuring timely deliveries and tracking backorders.
– Assess delivered goods and services against company benchmarks to ensure quality.
– Review efficiency through various reports including parts performance, work progress, and monthly net sales.
– Manage warranty claims, adhering to manufacturer stipulations and paperwork requirements. Ensure claim processing, and handle any rejections as per company guidelines.
– Streamline warehouse procedures by monitoring reports on availability, delivery, allocations, and material conditions.
– Address and reduce dead stock by analyzing current and old stock reports.
– Aid in the trial of new SAP system components, and oversee the prompt rollout of features like VAT Tax Integration, Labor Time Clocking, and Bonded storage management.
– Mentor and guide newcomers to guarantee proficient job performance.

Team Context:

This role falls under the Manager of the division. The primary duty is to bolster the sales team with both sales and administrative assistance.

– Minimum of 3 years in Sales Administration or Coordination roles.
– Familiarity with SAP and billing procedures.
– Fluent in English with commendable communication abilities.
– Advanced proficiency in Microsoft Office, especially Excel.
– Proven customer management and effective communication prowess.
